Transferring Studies from Another Institution

Transferring funded research projects from another institution can be a complicated process, particularly if there are live animals to be transferred. The Office of Research Administration and University Laboratory Animal Resources staff are happy to consult with incoming faculty by email, phone, or in person to ease the transition for both the faculty member and the animals.
Important Points to Remember
- UCI cannot accept another institution’s IACUC approval
- Protocol applications must be submitted on UCI forms, and reviewed and approved by UCI’s IACUC
- Approval at the previous institution doesn’t guarantee the same requirements for approval of the project at UCI
- Funding agencies will not transfer awards to UCI until all regulatory approvals are in place
- A protocol must be reviewed and approved by UCI’s IACUC before animals can be transferred from another institution (with some exceptions; see below)
- In order to get the protocol on the IACUC agenda, the Animal Care and Use online tutorial must be completed by the faculty member with a UCINetID.
- The incoming faculty member’s department administrator and campus Network and Academic Computing Services (NACS) can help with obtaining a UCINetID.
- Consult with campus veterinarians regarding housing and space requirements.
- Request a pre-review from the IACUC administrator at least two weeks prior to submission.
Suggestions for a Smooth Transition
- Start planning early, and seek assistance. The Office of Research Administration can arrange a planning meeting to ease your transition, with representatives from your department, Sponsored Projects, Research Administration and University Laboratory Animal Resources.
- Campus veterinarians must be involved AS EARLY AS POSSIBLE, particularly if there are large or unusual research animal needs, such as larger or more sensitive species (non-human primates, dogs, livestock) or extremely large numbers of rodents.
- If live animals will be transferred to UCI from another institution, arrangements must be made well in advance to ensure that adequate facilities and space are available.
- Animals can be transferred to UCI prior to protocol approval on a case by case basis and under certain circumstances:
- An IACUC protocol application must be submitted to the IACUC, pending full committee review.
- Animals will be held by ULAR and cannot be used for any research or observation purposes until the protocol is approved.
- The incoming faculty member and the department must retain responsibility for all per diem charges.
